Admin / Office Manager (Milan)

Chapman Taylor is an award-winning practice of global architects, masterplanners and interior designers, known for designing places and buildings that are both creative and successful. We operate from 16 design studios and have successfully delivered over 3,000 major projects across five continents in over 100 countries. We speak 35 languages and our global team includes over 45 nationalities.

For the Milan office, we are searching for an enthusiastic ADMIN AND OFFICE MANAGER.

The ADMIN AND OFFICE MANAGER wears multiple hats and is experienced in handling a wide range of administrative and executive support. With a deep service-oriented mindset, this person can work independently, is well organised, flexible and enjoys the administrative challenges of supporting offices of diverse people.


Be the first contact and provide support for visitors and point of reference for the team.

Coordination of all activities related to office management (facilities, general and specific suppliers). Manage contract and price negotiations with office, equipment and service suppliers. Maintain proper stock levels. Participate in the management of the local IT service desk. Responsibility for a safe and secure working environment. Ensure COVID19 government and regional by-laws are duly applied and enforced.

Management of all administrative and accounting tasks, invoicing activities (active and passive cycles), payments and monthly reports in conjunction with finance and accounting external consultants. Monitoring monthly costs and expenses and reporting to the London studio. Support for the preparation of the company's financial statements.

Management assistance, agenda management and CEO special assistance, booking travel and accommodation, and similar for all team members.

Coordination and management of the coworking area of 10 desks within the studio.

Lead and/or participate actively in the planning and execution of company events.


  • Business Admin Bachelor’s degree or 3+ years of related experience
  • Fluent in English and Italian (both languages mandatory)
  • Excellent working knowledge MS Office (Excel, Powerpoint, Word)
